IV members can now store and share securely in a Swedish cloud

The requirements surrounding secure data storage and archiving can feel like a complex maze. The General Data Protection Regulation (GDPR) is designed to protect personal data, restrict how it is used and give individuals control over their personal information. The principle of public access to official documents, established by the Swedish Parliament, is intended to ensure transparency and also imposes requirements regarding archiving. IV has now entered into a framework agreement with Storegate to make it easy and secure for its members to store files in compliance with GDPR, while also providing access to a secure digital archive.

IV – Idéburen Välfärd is a national industry association for non-profit preschools and schools in Sweden. Non-profit organisations do not distribute profits; instead, all funds are reinvested in the school or preschool.

Management and administrative teams must handle both sensitive and non-sensitive personal data. This may include everything from children’s allergies and dietary requirements related to religious beliefs to protected address details, national identification numbers and residential addresses. Combined with archiving requirements and the introduction of the principle of public access to official documents, this presents a significant challenge.

We have seen that many people send unencrypted emails to our members containing personal data and other information that should not be shared in this way. This is something we cannot support, which is why we have chosen to offer our members a secure alternative for collecting and sharing information digitally.

The fact that Storegate can also provide the IV community with the storage capacity needed to meet the new archiving requirements is fantastic. The favourable agreement we have negotiated, which also includes support in Swedish, is an added bonus.

The service provides a GDPR-safe and easy collaboration tool for documents and images. Members get a single place for pictures, teachers’ folders, planning, pictures, weekly letters and more. Storegate enables multi-level collaboration in a smooth way between principals, departments and the board.

Today, many schools and municipalities use services that do not meet the requirements of the GDPR when information is sent between them, and there is great uncertainty about who and which providers in the public cloud can be trusted. The fact that Fria förskolor chooses Storegate in times like these, when the debate about Facebook and Google is at its peak in the media, is proof of the need for a Swedish cloud service.
